Privacy Policy

Last updated: 13 April 2025

1. Introduction

This Privacy Policy explains how Cybernetic Labs Ltd ("we", "us", "our") collects, uses, and protects personal data when you visit synkvault.net (the "Website").

Cybernetic Labs Ltd is registered in England and Wales. Our registered address is:
1 Canada Square, London E14 5AB, United Kingdom

We are the data controller for personal data collected through this Website. For more information about us, visit cyberneticlabs.io.

This policy applies solely to the Website. If you use SynkVault products or solutions (such as the Enterprise, SaaS, or Partners platforms), a separate privacy policy and Data Processing Agreement governs that use — see Product-Specific Privacy below.

2. Data We Collect

We may collect the following categories of personal data when you use the Website:

  • Contact information — name and email address submitted via our contact or demo request forms
  • Usage data — pages visited, time spent on pages, referral source, and navigation patterns
  • Technical data — IP address, browser type and version, device type, operating system, and screen resolution
  • Analytics data — aggregated behavioural data collected via Google Analytics (see Section 3)
  • Preference data — language preference stored locally to improve your experience

We do not intentionally collect sensitive personal data (e.g. health, financial, or biometric data) through this Website.

3. Google Analytics

We use Google Analytics 4 (GA4) to analyse how visitors use the Website. This service is provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.

Google Analytics collects data including:

  • Pages visited and navigation paths
  • Session duration and frequency of visits
  • Device type, browser, and operating system
  • Approximate geographic location (country/city level, derived from IP address)

This data is transmitted to and stored on Google servers, which may be located outside the United Kingdom or European Economic Area. Google acts as a data processor on our behalf. Data collected is used solely for analytical purposes and is not used to identify individual users.

Consent required: Google Analytics is only activated after you accept optional cookies via the cookie consent banner displayed on your first visit. If you decline or close the banner without accepting, no analytics data is collected. You may withdraw consent at any time by clearing your browser's local storage.

For more information on how Google processes data, see the Google Privacy Policy.

4. How We Use Your Data

We use the personal data we collect for the following purposes:

  • To respond to enquiries — processing contact form and demo request submissions
  • To improve the Website — analysing usage patterns to understand what content is useful and how to improve navigation
  • To provide a personalised experience — remembering your language preference
  • To ensure security — monitoring for fraudulent or abusive activity
  • To comply with legal obligations — retaining records as required by applicable law

Our lawful bases under UK GDPR are: legitimate interests (Website analytics and security), consent (optional cookies), and contract (responding to direct enquiries).

5. Data Sharing

We do not sell, rent, or trade your personal data. We may share data only with:

  • Google LLC — as our analytics processor (GA4), under a Data Processing Agreement
  • Hosting and infrastructure providers — for operating the Website (e.g. Netlify), who act as processors and are contractually bound to protect your data
  • Legal authorities — where required by law or to protect the rights and safety of Cybernetic Labs Ltd or others

All third-party processors are required to implement appropriate technical and organisational measures to protect your data.

6. Your Rights (UK GDPR)

Under UK data protection law, you have the following rights regarding your personal data:

  • Right of access — to request a copy of the personal data we hold about you
  • Right to rectification — to request correction of inaccurate or incomplete data
  • Right to erasure — to request deletion of your personal data in certain circumstances
  • Right to restrict processing — to request that we limit how we use your data
  • Right to data portability — to receive your data in a structured, machine-readable format
  • Right to object — to object to processing based on legitimate interests
  • Right to withdraw consent — to withdraw consent for optional cookies at any time

To exercise any of these rights, please contact us at legal@cyberneticlabs.io. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

7. Cookies & Consent

We use two categories of cookies on this Website:

  • Essential cookies — required for the Website to function correctly (e.g. language preference). These are always active and do not require consent.
  • Analytics cookies — set by Google Analytics to collect usage data. These are only activated after you click "Accept All" on the cookie consent banner.

You can change your cookie preference at any time by clearing your browser's local storage or site data for synkvault.net, which will cause the consent banner to reappear on your next visit.

8. Product-Specific Privacy

This policy covers synkvault.net only.

When you register for or use any SynkVault product or solution — including the Enterprise platform, SaaS platform, or Partners portal — your use of those products is governed by a separate privacy policy and, where applicable, a Data Processing Agreement (DPA). These documents reflect the additional data processing activities involved in delivering the SynkVault platform, including tenant data management, knowledge graph processing, and AI-powered features.

You will be presented with the applicable product privacy policy and asked to agree to it when you create an account or enter into a subscription agreement with Cybernetic Labs Ltd.

9. Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy:

  • Contact form submissions are retained for up to 2 years to manage follow-up enquiries
  • Analytics data is retained in Google Analytics for 14 months (Google's default retention period)
  • Cookie consent preferences are stored locally in your browser and are not transmitted to our servers
